We've given our Forms feature a refresh! See below for everything that can be done by using Forms.

You can use Forms for a variety of system actions. First, forms are used to submit new ideas to challenges, or ad-hoc submissions. Administrators or Challenge Sponsors can customize these Forms to include any questions they might want answers to, to have a better understanding of the idea being submitted.


Next, Forms can also be used to review and evaluate ideas with Tasks. Here's an example: When a challenge closes, Review team members will receive a task to be completed. It will consist of a few questions about the idea (this is the Form). Once they respond to the questions, the next event will be triggered whether it's another task, or a status change, etc.


Lastly, Forms can also be used to run Surveys or Polls. Use Forms to select what type of questions you'd like to have answered (Radio button, Checkbox, Text field, etc).

To access Forms, simply click on the gear in the top right corner and select “forms”.


When creating a form, the first step consists of inputting general information: Form name, description, form key (used for Identification and automation), and the group in which the form will be used (see screenshot below).



Fields:

To create a form, it is important to include relevant fields from these choices:


It is possible to make any field a “Required” field, though by default they are not. Fields and forms marked with a red asterisk are required fields/forms and can not be submitted as long as those fields are not completed. While creating a form/inserting a new field, a “Required?” box may be checked to make said field mandatory.

  • Field Key: Keys are used as identifiers for any object within the software. This key should be unique to identify the field. 

  • Name to Display in Reporting: This value indicates the name that the field will have when the form is displayed in Reporting.

  • Character Limit: It is possible to allow a character limit in all fields, and inputting “zero” indicates no limit. 

  • Selected Categories: The most important value of this field. The Selected Categories will be displayed in the Tree View Field as the selectable options when using this form (view screenshot above).

  • Label: This will be the text displayed within the field. In other words, the display name of the field on the form.

  • Tooltip: The tooltips can be used for guidance purposes. It is text that will be displayed to aid the user in understanding the Field.

  • Default Value: The default value is the default date/time that will appear. The user can change this value when completing the form.

  • Display Time: Show the option to select a time. 

  • Block off past dates: This option will block all past dates, making them unselectable. 

  • Label: This will be the text displayed within the field. In other words, the display name of the field on the form.

  • Tooltip: The tooltips can be used for guidance purposes. It is text that will be displayed to aid the user in understanding the Field. 



Upload:

  • Field Key: Keys are used as identifiers for any object within the software. This key should be unique to identify the field. 

  • Name to Display in Reporting: This value indicates the name that the field will have when the form is displayed in Reporting.

  • Label: This will be the text displayed within the field. In other words, the display name of the field on the form.

  • Allow Multiple Files: This option allows the user to attach multiple files.

  • Display File Name: This option displays the name of the attached file(s) while viewing the form. 

  • Allow Document Gallery: This option allows the user to select files from the document gallery of your company.

  • Allow Links/Multiple Links: Just like the “Allow Multiple Files”, this option allows the user to attach links/multiple links to the form. 

  • Tooltip: The tooltips can be used for guidance purposes. It is text that will be displayed to aid the user in understanding the Field.

  • PlaceHolder Text: This is a small description of the expected value of the field. 

  • Numeric Format: This field allows the user to select either numeric format or currency format.

  • Decimal Places: The number of decimals displayed.

  • Minimal/Maximal Value: The bounds in which the user can select values.

  • Content: This field is used to enter all the read-only content. 




Text Field:

  • Name to Display in Reporting: This value indicates the name that the field will have when the form is displayed in Reporting.

  • Character Limit: It is possible to allow a character limit in all fields, and inputting “zero” indicates no limit. 

  • Height: This option allows you to choose how high the field will appear on the form. 

  • Width: The value of how wide the field will display.

  • Default Value: This is the default value that will appear before the user makes any changes.

  • Label: This will be the text displayed within the field. In other words, the display name of the field on the form.

  • Tooltip: The tooltips can be used for guidance purposes. It is text that will be displayed to aid the user in understanding the Field.

  • TextType: This option allows you to select which format the text will be typed in. To view the different options, please see the screenshot below. 

  • PlaceHolder Text: This is a small description of the expected value of the field. 

  • Limited field length: Put a limit on the maximum number of characters. 

  • Pattern match: Allows you to limit common expressions within the field, such as phone numbers or emails.
